Meeting notes name more speakers and cover long calls

For everyone who works with an AI employee

Send your AI employee to a Google Meet call and it emails you the notes. Now the notes name speakers that Meet captions identify, and long calls get their notes too.

Why it matters

Everyone who reads the notes can see who said what and follow up on the decisions and tasks, even after a long call or a short break in live transcription.

Before
A speaker whose video tile never lit up stayed an unnamed voice, and a two-hour meeting could end with no notes at all.
Now
Speakers that Meet captions name get their names, long calls get their notes, and the notes email links straight to them.

What you get

  • Names from Meet captions: when Meet captions clearly name a speaker whose video tile never lit up, such as a presenter, the notes use that name, not an unnamed voice.
  • Notes for long calls: a long meeting, such as a two-hour call, gets its notes, written from the whole conversation.
  • Stays in the call: if live transcription drops for a moment, your AI employee stays in the meeting and reconnects. The notes still cover the whole call from the recording.
  • Notes online in one click: the link at the end of the notes email opens that meeting's notes, and the full notes and transcript come attached as a PDF.
  • Up to six people in the summary picture: the picture in the notes shows up to six people with their tasks. A list that does not fit ends with +N, so you know more items exist.

How to use it

Your AI employee joins only the Google Meet calls you send it to, from the Voice Meetings screen or from its chat.

  1. Open Voice Meetings

On a phone or tablet, open Settings and tap Voice Meetings. On a computer, click + Add Panel, choose Voice Meeting and your AI employee, then click Add.

  2. Send your AI employee to the call

Paste the Meet link, code or invitation, or choose a meeting from your calendar, then press Join meeting. In the chat with your AI employee, you can also type /meet with the link.

  3. Connect Google the first time

If the screen says your AI employee needs Google Meet access, open Google Meet access and press Sign in to Google Meet. If Google asks you to confirm on your phone, tap the number the sign-in step shows.

  4. Let it in

If Google Meet asks the host to admit your AI employee, admit it, as you would any guest.

  5. Read the notes

After the call, the notes arrive by email, with a link that opens them online and the full notes and transcript attached as a PDF.

Good to know

  • Past meetings and their notes stay under History in Voice Meetings.

Updates to this feature

  1. Improved

Meeting recordings start playing where people begin to talk

The meeting player waits at the first spoken line, names the minute and second where the talk begins, and Play starts there.

  2. Fixed

You can sign your AI employee back in to Google Meet

The Sign in again button opens the Google sign-in step, and if the sign-in still cannot finish, the message says what to do next.

  3. Fixed

Google Meet sign-in shows the number to tap on your phone

The number and the device Google asked on appear on the sign-in step, and after you approve, the sign-in checks that you are signed in.
