Expired sign-ins reach the person who can renew them, once
For everyone who works with an AI employee
Part of When an AI employee is unavailable, the right person is told
When Zendesk, Pipedrive, Asana or Google refuses the sign-in an AI employee uses, the person whose AI employee uses it gets one note that says how to reconnect, and the scheduled tasks that need that tool wait until it works again.
Why it matters
A sign-in that expires quietly costs days: a ticket summary keeps running without access, repeats the same error in the chat, and new tickets go without a summary. Now the person who can renew it hears at once, and no task runs blind meanwhile.
- Before
- An expired Zendesk or Pipedrive sign-in was found only in the middle of a task, and scheduled tasks kept running without access and repeated the same error in the chat.
- Now
- An expired tool sign-in reaches its owner once with the way to reconnect, and the scheduled tasks that use the tool wait and start again by themselves.
What you get
- One note, to the right person: the person whose AI employee uses the sign-in is told which AI employee and which tool, and how to connect it again, in the company where that AI employee works. Many failed attempts still make one note.
- Tasks that need it wait: the scheduled tasks of that AI employee that use the tool pause with the reason, also those whose name never mentions the tool, and all its other scheduled tasks keep running.
- Back by themselves: when the tool accepts the sign-in again, after you connect it again or on its own, the paused tasks switch back on and you get one short note.
- Found before a task needs it: VEP checks each AI employee's own Zendesk, Pipedrive and Asana sign-in once a day, and a Google sign-in each time VEP renews it, so a dead sign-in is usually found before the next task that needs it.
- Who can fix it, by name: when an AI employee cannot answer because no AI account is connected, a colleague who writes to it is told who can fix it, such as the company admin, and never gets a link they cannot use.
How to use it
Read the note
It arrives in one place: your decisions conversation if you have one, otherwise your chat with the AI employee, or else a message from VEP Support. It names the tool and the scheduled tasks that wait for it.
Connect the tool again
Type the line the note shows in your chat with the AI employee:
/connect zendeskwith your new key and the other fields it lists, or/google-authto sign in to Google again. The waiting tasks switch back on as soon as the sign-in works.Check your scheduled tasks
Type
/routinesto see which tasks wait and why. They start again by themselves once the sign-in works.
Good to know
- A tool that is only busy or slow does not pause anything: only a refused sign-in does.
- The note never shows your key or anything you typed to connect the tool.
Part of: When an AI employee is unavailable, the right person is told
If an AI employee is unavailable, the person who can fix it gets one alert, others get a short plain note, and waiting questions are answered later.
