When an AI employee is unavailable, the right person is told

For everyone who works with an AI employee

When an AI employee is unavailable, the person who can fix it is told once. Everyone else gets a short plain note, and when it works again, it answers the questions that waited.

Six steps: your AI employee cannot answer, the right person is told, others get a short note, it works again, people hear it, and questions come back

Why it matters

The person who can fix a problem hears about it at once, and everyone else gets a short plain note instead of technical messages. When the AI employee is back, it answers the questions that waited for it.

Before
People got technical messages they could not act on, the person who could fix the problem often heard nothing, and unanswered questions were lost.
Now
The person who can fix the problem gets one alert, everyone else gets a short plain note, and the AI employee answers the waiting questions once it works again.

What you get

  • One alert, to the right person: a problem with its Claude account goes to whoever connected it, one with VEP's own account goes to VEP's team, and anything else to your business owners. Many failed messages still make one alert.
  • What to do, with links: the alert says what stopped, such as the AI account's sign-in or a usage limit, and whom it affects, with links to reconnect when that is the fix. The links work for 24 hours.
  • A plain note for everyone else: anyone who writes meanwhile gets a short line: who has been told, or that the problem was reported, and, when known, when it will answer again in their own time zone.
  • Several AI employees, one message: if the same problem hits several AI employees within ten minutes, the person alerted gets one follow-up that says how many are affected.
  • Waiting questions are answered: when it works again, it answers the messages from the last day that waited in each chat, in one reply, and lists older ones for you to send again.

How to use it

  1. If your AI employee is unavailable

You get a short note in the chat: who has been told, or that the problem was reported, and, when it is known, the time it will answer again. There is nothing else to do.

  2. If you get the alert

It arrives in one place: your decisions conversation if you have one, otherwise a card in your chat with that AI employee, or else a message from VEP Support. It says what stopped and who is affected. Use its links within 24 hours to reconnect, or wait for a usage limit to reset when that is all it takes.

  3. When it works again

Everyone it could not answer gets one short line that it is working again, and then it answers the messages that waited in that chat. Messages older than a day, and requests it had already started on when it stopped, are listed for you to send again if you still need them.

Good to know

  • A request it had already started on when it stopped is listed instead of being run again, so an action such as sending an email is not repeated without you.
  • The note in the chat has no links or technical steps: those go only to the person who can act on them.

Updates to this feature

  1. Improved

Your AI employee answers the messages that waited during an outage

Messages that waited during an outage are answered by your AI employee in one reply once it works again; older ones and work already begun are listed for you.

  2. Improved

Sign-in alerts of your AI employee reach your phone or email

Each of these events also sends you one short notification that opens your chat with that AI employee, or one email to your VEP account address.

  3. Fixed

One plain note when your AI employee could not save what it learned

Learning that waits for an outage is told at most once a day per cause, in one plain note that says nothing is lost, and not at all when you were already told.

  4. Improved

Expired sign-ins reach the person who can renew them, once

An expired tool sign-in reaches its owner once with the way to reconnect, and the scheduled tasks that use the tool wait and start again by themselves.

  5. Improved

Admins hear before the monthly VEP usage runs out

Business owners and admins hear at 80% and at 95% of the monthly VEP usage, and a refused answer names the renewal date and the admins who can raise it.

  6. Fixed

A message blocked by mistake leaves your AI employee available

Messages blocked by the AI provider's safety filter get a plain explanation, alert nobody and stay out of what your AI employee reads for your next messages.

  7. Fixed

A reply that did not finish says so in one plain sentence

Notes above replies that did not finish say so in one plain sentence and mention when VEP already tried once more by itself.

  8. Fixed

A failed chat command gives you a reference for VEP Support

Replies to a failed command say what failed and show the known reason, such as a missing field, or a reference VEP Support can look up.

  9. Improved

Report a problem to VEP Support and it reaches a person

Your report gets a number, reaches an admin of your company and the VEP team, and their answer comes back to the chat where you wrote.
